Club membership
The membership section lists all of the individuals that are members of the club. The membership is used for internal club admin, league interaction and for assigning officials. It can be accessed via the club page menu once logged onto your club pages.
When a club is first created the creator is listed in the membership. Additional members are added individually at the top of the page in the 'Add member' section. Before you add a member you should check with them to see whether they already have a personal profile on the site (for example, they may have been registered with another club previously). If they were, type their profile ID into the top fields. Otherwise, tick the checkbox and enter their name in the fields provided. Then click on 'Add member'. They will now be listed below.
You can click on a members name to see and edit their details. Make sure you do this if you add a personal manually (i.e. not with a profile ID) so you can set details such as gender.
When viewing/editing a person's details the actual information that you can see/edit depends on the access rights you have for that person. If you created the person on the system then you will have full access rights. Otherwise, the individual has to approve your club to allow edits and seeing their information is dependent on their visibility settings. This system allows individuals have either have their data managed by the club on their behalf or to manage it themselves, and to protect individual's information. If you added a person who was already on the site, via their profile ID, you may need to ask them to give your club authorisation to edit their details on their profile.
Most of the information on the details screen is self-explanatory but you should see the visibility section for selecting 'Who can see telephone numbers and address'. The other option that is more complicated is the 'Official' tick box. Ticking this makes the person an official of the club which means they will be able to access the club management pages, to be optionally selected as the main contact, and to be optionally selected as a team captain. When you save changes after ticking the official tick box the person will, assuming an email address is entered for them, be emailed log on information for the club. You will not have to do anything more to notify them of their new status. You can also manually send someone their log on details (whether they are an official or not) by click on the 'Send logon details'. If you have made any changes to their details, make sure you save them before clicking on this button.
